We're Hiring an Administrative Assistant!

Councillor Amber Morley is looking for a dynamic, progressive, and engaged individual to join her team as an Administrative Assistant. This person will support Councillor Morley and her team with day-to-day scheduling, responding to constituent inquiries, and administrative support. The position is full-time and will require occasional evening and weekend work. 

Job description:

  1. Responsible for general administrative operations of the Councillor’s office. Ensures the Councillor is relieved of all administrative detail as it relates to the day-to-day running of the office, if delegated by the Councillor.

  2. Reviews and distributes incoming mail, e-mails and telephone enquiries to appropriate staff member.

  3. Schedules Councillor’s appointments, invitations, etc. ensuring that there is no scheduling conflict and also ensuring that Councillor has necessary information and material for each meeting and/or event.

  4. Handles general enquiries or refers to other members of the Councillor’s staff and appropriate City staff.

  5. May assist the Councillor and Councillor’s staff in handling concerns and complaints from constituents and the public. Gathers information and/or prepares response as directed.

  6. Prepares Councillor’s committee and City Council meeting materials

  7. Prepares letters of commendation for special events as requested.

  8. Monitors the Councillor’s office supplies. Orders office supplies as required.

  9. Maintains confidentiality relating to issues of importance to the Councillor and his/her constituents.

  10. Develops and maintains database of Councillor’s contacts.

  11. Makes travel arrangements as necessary.

  12. Undertakes special assignments as requested by the Councillor.

  13. Demonstrates deep knowledge of issues relating to residents of Ward 3, Etobicoke-Lakeshore.

  14. Supports writing and posting social media content on Twitter, Facebook and Instagram.

Knowledge & Experience

  • College diploma or University degree in a related field with 2-5 years experience in office administration

  • Understanding of the Toronto political landscape and pressing issues, such as housing, transit, social services, equity and social justice.

  • Advanced knowledge of office administration software, specifically Microsoft Outlook.

  • Demonstrated experience managing a calendar and maintaining office systems.

  • Strong relationship management experience.

  • Strong attention to detail and time management skills; ability to manage multiple projects simultaneously.

  • Ability to meet new and different people on a day-to-day basis and build consensus among teams.

The position is a fixed-term full-time contract hours per week not including occasional evenings and weekends (which will be counted as lieu time). The position will be based primarily out of Toronto City Hall located at Queen Street West and secondarily at our Constituency Office located at 641B The Queensway.

Annual Salary: $50,000–$57,000

Potential to work from our Community Office (641B The Queensway) a few days a week once it's open.
